We do our very best to serve our clients and hope that you’ll become familiar with our cancellation policy so that you can make informed decisions about your time and scheduling preferences.
We require 2 business days (48 hours) notice for cancelled appointments. If you need to cancel a Monday appointment, we need to know by the previous Thursday. If you need to cancel a Tuesday appointment, please let us know by the previous Friday.
48 hours notices gives the admin team enough time to reschedule that appointment for another client who may need a session that week. For late cancellations or no-shows, we charge the full appointment fee. Please note that insurance will not cover the cost of missed appointments.
Please note that if there is a pattern of cancellations, it may hinder services or lead to termination of services.
If you’re sick, running late, etc., we’re happy to switch in-person appointments to telehealth appointments to make things easier and modified check-in times may be accommodated depending on the therapists’ schedule. The fee will be waived if you reschedule a missed or late cancelled appointment if you reschedule for another time during the same week.
In the event of inclement weather, MindTree follows the school district calendar and will switch appointments to telehealth. In the event of your therapist being unable to attend your session, we will contact you as soon as possible via phone and email and you will not be charged for the session.
The best way to cancel or reschedule an appointment is to reach out either to the front desk by phone (503-966-1556 Ext. 1) or email (coordinator@mindtreeholisticcounseling.com) or message your clinician (through the client portal) to let us know what is going on.
